This Refund and Returns Policy outlines the conditions under which refunds, returns, chargebacks, and transaction reversals are handled through our platform.
1. Scope & Definitions
- Platform Role: WhoPay acts as a payment processing technology provider. Unless explicitly stated, WhoPay is not the seller of record for goods or services offered by third-party merchants using our platform.
- Buyer: The individual or entity submitting payment through WhoPay.
- Merchant: The business or individual accepting payments using WhoPay’s software, APIs, or checkout tools.
2. Merchant Refund Policies
Because WhoPay processes transactions on behalf of third-party merchants, refund eligibility for physical products or digital services is primary determined by the seller’s specific Refund Policy.
- Direct Requests: Buyers seeking a refund for goods or services purchased from a merchant using WhoPay must contact the merchant directly.
- Merchant Authority: Merchants retain full authority to issue full, partial, or store credit refunds through their WhoPay merchant dashboard in accordance with their individual terms of sale.
3. Direct Platform Transactions & Fees
For direct fees billed by WhoPay (including monthly software subscription fees, API access, or transaction fees):
- Subscription Fees: WhoPay software subscription fees are billed in advance on a recurring schedule and are non-refundable. You may cancel your subscription at any time to prevent future billing.
- Processing Fees: Transaction processing fees incurred during payment processing are non-refundable, even if the underlying transaction between buyer and merchant is later refunded.
4. Dispute Resolution & Chargebacks
If a buyer cannot reach a resolution directly with a merchant, or believes a transaction was unauthorized or fraudulent:
- Filing a Dispute: Buyers may submit a dispute through the WhoPay resolution desk at support@whopay.io with proof of purchase, attempt to contact the seller, and evidence of non-delivery or deficiency.
- Investigation: WhoPay reserves the right to hold transaction funds during an active dispute investigation.
- Chargebacks: In the event of a card chargeback or ACH reversal, the merchant account associated with the transaction will be debited the disputed amount plus any applicable chargeback administration fees.
5. Non-Refundable Items & Transactions
Unless required by law or explicit merchant agreement, refunds are generally non-executable for:
- Completed cryptocurrency or blockchain-based transactions due to the irreversible nature of distributed ledger networks.
- Digital downloads or consumed digital products once access has been granted or fulfilled.
- Transactions where prohibited activities or breaches of our Terms of Service occurred.
6. Processing Timeframes
Once a refund is approved and initiated:
- Credit/Debit Cards: Standard processing takes between 5 to 10 business days to post to the original payment method, depending on the issuing bank.
- Digital Wallets & Bank Transfers: Typically processed within 2 to 5 business days.
